Recording built into the phone system, with telephony-style retention. RingCentral keeps recordings 90 days, capped at 100,000 per account. Aircall publishes up to one year on Essentials and unlimited on Professional, both by request, with six months available in the dashboard.
Read that Aircall line twice. Self-serve retention and the advertised ceiling are different numbers, and the gap between them is a support ticket. Treat a dialer as capture. It isn’t an archive.
AI Note-Takers
Light, and the tier most teams already run without a purchase order. A bot joins, and a summary with action items lands when the call ends.
Zero-cost tiers made this default behavior. Fathom’s free plan carries unlimited recordings and transcriptions. Otter allows 300 transcription minutes a month at no charge, with a 30-minute cap on any single transcription, so a 45-minute discovery call gets cut off partway through. Fireflies caps unpaid teams at 400 minutes of storage.
Their ceiling sits at the sales layer. CRM field sync, deal views, and coaching scorecards appear on Fathom’s Business plan at $34 per user monthly. Everything below that leaves the summary in the vendor’s app.
Conversation Intelligence
Platform tier: recording across video and dialers, transcription, and analysis built for managers. Scorecards fill in from the transcript. Benchmarks cover question rate and monologue length. Consent tooling is strongest here, including automated announcements and retention policies you set.
Gartner now catalogs this space as revenue action orchestration and lists activity intelligence, deal scoring, guided actions, pipeline analytics, and data interoperability among its mandatory capabilities. Pricing is quote-only across the tier. Budget a platform fee on top of per-seat licenses.

One line in that list hides a trap. HubSpot meters transcription at 750 hours per account per month on Professional and 1,500 on Enterprise. Per account, not per seat. A 40-rep team on back-to-back calls burns through 750 hours quickly, and the overage conversation arrives in month two.
What Should You Test Before You Buy?
Five checks, in order of what they cost you later.
- Where transcripts land. Ask to see a call summary sitting on an opportunity record in your own CRM, populated automatically. A vendor library that requires a rep to copy a link is a second system, and reps abandon second systems. TrustRadius puts ease of use first among buying considerations, noting it will make or break adoption.
- Who sets retention. Your policy should govern, not the vendor default. Microsoft Teams expires recordings and transcripts after 120 days unless an admin changes it, and that change applies only to new recordings. History you already lost stays lost.
- How consent is handled. Ask whether announcements fire automatically for external participants and what happens on a call that misses the required notice. This isn’t hypothetical exposure. In a July 2026 survey of 500 employed US adults by Kolmogorov Law, 33.4% said an AI notetaker had been present in their work meetings, and among those, 65.3% said consent was inconsistent or absent. - What you keep at churn. Export rights live in the data processing agreement, not the pricing page. Get the clause in writing during evaluation, while the vendor is still selling to you.
- Whether coaching actually happens. Run a scorecard on a real recorded call during the trial, with the manager who will use it weekly.
